Believe it or not, email is still the most profitable marketing channel for small business owners in 2026. A study from Litmus shows 35% of companies see a whopping $10-$36 for every $1 spent. Direct Marketing Association reports that 66% of consumers have made an online purchase due to an email marketing message. (I am definitely part of that 66%)

Email marketing beats social media, ads, and SEO when it comes to ROI. But here’s the kicker: it only works if your emails actually land in someone’s inbox.

In this post, we’re diving into the techy but necessary steps that help your emails land, get read, and convert. It’s not 2012 anymore (sadly) — let’s do email marketing the right way.

Why You Shouldn’t Use @gmail.com or @yahoo.com for Your Business Email

Using a free email address might feel easy and familiar, but to inbox filters, it screams spammy.

Most email marketing platforms (like Flodesk, Kit, and MailerLite) actively discourage or even block senders using public domains like @gmail.com or @yahoo.com. Why? Because they can’t verify if you’re a legitimate sender, and neither can inbox providers like Gmail or Outlook.

The Importance of Owning Your Domain Name

I require all my clients to own and manage their domain names. When it comes to email marketing best practices for small business owners, email deliverability is a top priority! When you send emails from an @gmail.com or @yahoo.com domain, there’s a greater chance it’ll get caught in spam filters.

A custom domain builds trust, protects your emails from being flagged, and helps your message actually show up.

Think of your domain name as the digital front door to your business. It’s not just where your website lives — it also affects how legit your emails look.

Owning your domain allows you to set up authentication protocols like:

  • SPF (Sender Policy Framework)
  • DKIM (DomainKeys Identified Mail)
  • DMARC (Domain-based Message Authentication, Reporting & Conformance)

Not to nerd out on you… just know these DNS records tell inboxes, “Hey, this sender is real and verified.” Without them, your emails are flying blind and more likely to end up flagged as phishing.

Plus, using a branded email like hello@yourbusiness.com makes your business look polished and cohesive across all touchpoints. Win!!!

The “From” Name Is More Important Than You Think

Your email might be beautifully written with the perfect CTA… but if the sender name looks sketchy? Delete.

Your “From” name is one of the first things subscribers see, and it plays a huge role in whether or not recipients actually open your message.

✅ Use something friendly and human:

  • “By Sofia Brown”
  • “Amber | Studio Sunday”

❌ Avoid these red flags:

Also—consistency is key! Switching your sender name too often can and will confuse subscribers and spam filters. Pick a name and stick with it. Let your list get to know you!

Legal stuff may not be your favorite topic, but it’s essential if you’re building a sustainable and compliant business. Yes, GDPR still applies, especially if you have any subscribers in the EU (even just one!).

Here are the email marketing best practices when it comes to compliance:

  • Get explicit consent before adding someone to your list

(aka they have to opt in through your sign-up form. No manually uploading their name and email from the stack of business cards you snagged at that pop-up market last month. Please, don’t do that.)

  • Make unsubscribing easy and accessible

It needs to be clearly linked at the bottom of all your emails, no exception!

  • Keep a record of when and how someone opted in

Your email provider will do this for you if you’re using an opt-in form through Flodesk, ConvertKit, Klaviyo, or other ESP.

Pro Tip: You’re legally required to include a physical mailing address in your email footer.

If you’re not comfortable sharing your home address (like, who is??), use a PO box or virtual mailbox. It protects your privacy and keeps you compliant.

Email Hygiene Tips That Actually Improve Deliverability

Cleaning up your list may not sound glamorous, but it is what keeps your deliverability strong and your list healthy.

Here’s how to give your list a little TLC:

  • Remove inactive subscribers every few months (if they haven’t opened in 90+ days, they’re most definitely hurting your deliverability)
  • Segment your audience so you’re sending content that feels personal and not generic
  • Use a double opt-in to make sure people actually want your emails
  • Warm up your list before launching big promos (don’t suddenly send to 40,000 people if you’ve been quiet for 3 months. (Yes…I recently saw someone do this, and yes, it failed miserably)
  • Design for mobile since most people read emails on their phones
  • Avoid all-image emails. Plain text or a hybrid of text + graphics works better for visibility
